The responsibilities of the Administration team are to provide a range of services to the Club which are deemed essential for the Clubs well being both this year and in the future
The Mission will be to provide the Club with a solid administration platform, making sure that the Club runs smoothly, that our Club is well publicised in the media, ensuring that our events are well supported, and our membership grows. The theme for this year is “raising the profile”

Membership
This year we hope to encourage more people to join our Club, by promotion of our Club at major events such as Aquafest. In addition we will review the opportunities to promote Rotary through our Website, the local press and other media. We hope to recruit at least 2 new members during the year
Publicity
This year we will review the best ways to publicise our events through the local media, and forge closer working relationships with the local press. We will strive to open up new lines of communication, with the objective will be to send out a weekly press release to The Ely Standard and the Ely Weekly News. In addition we will prepare a Quarterly News Bulletin which can be distributed to local notice boards in libraries, doctors surgeries etc
Meeting Organisation
In summary the tasks will be to make sure that the weekly meetings run smoothly.
It is propose to solicit the views of members regarding the weekly meals – and where possible – and with the co-operation of the Lamb Hotel Management - make improvements where members have dictated. To achieve this objective it will be necessary to develop a close working relationship with the Management and staff of the Lamb Hotel. The meeting room will be prepared in line with the requirements for that night
Social Calendar
The Social Calendar will be maintained and further developed to provide an attractive mix of topics delivered by speakers from outside organisations and our members, and Rotarians from other Clubs.
In addition – we will develop our relationships with other Service Organisations such as the Lions by having a programme of joint social events such as the ten pin bowling. We will develop a programme of outside visits to local organisations as appropriate.
Club Health & Safety / Club Protection
As in previous years risk assessments will be completed, and held on file for all major events where the public are involved. It will be important this year to make sure that we are up to date with any changes in legislation on Health and Safety issues, so decisions can be made in the full knowledge that we are compliant
Website
The plans for the website for the forthcoming year are to further develop the site with a view to
1) promoting the ideals of Rotary to members of the public
2) further development of the Club Management aspects
3) provide information on Rotary events, and other newsworthy stories for Club members and the general public alike
It will be our objective to re-model the site in line with the New Club Leadership Plan, and further encourage web managers to keep their pages up to date – ensuring that our site stays World Class
Club Constitution
It is proposed that a Club Constitution is produced using the guidelines provided by Rotary International. This will take into consideration the needs of our Club and will be reviewed on an annual basis to ensure this is kept up to date.
Club Archivist
It is planned to archive newspaper articles and other worthwhile information in electronic form on our website. It is proposed that Lynne Turner edits this ready for putting on the website
QuarterMaster
The Quarter master will be responsible for maintaining the Club Banners - and for displaying these at Club meetings as appropriate. In addition the Club equipment will be maintained and made available for Club Meetings. The Quartermaster will also be responsible for holding stocks of Rotary Pins, ordering Presidents badges, and bars for the Presidents Jewel
